
GENERAL REGULATIONS
Assembling
The Booths setup will be based on the design or pattern presented by the exhibitor and approved by the Organizing Committee; otherwise no claim will be accepted. The assembling system used by PABEXPO uses standard measures; so, any measurement that involves cutting or transforming the length, width or height of the elements will be implemented at an additional cost for the exhibitor, which will increase according to the complexity of the work.
Stand Dismantling: Exhibitors should dismantle their stands between November 11th -15th between 9AM and 5PM. The Hall Manager will authorize the stand dismantling once Exhibitors have shown full payment of all services received during the Fair. (contact any member of the Organizing Committee for further assistance).
Exhibits & Furniture Safe Keeping: Exhibitors are totally responsible for safe keeping of their Exhibits and furniture during trade hours. Exhibitors will be given 30 minutes after closing time to leave the pavilion. Safe keeping of the exhibits & furniture within the exhibitor stand will be in charged of security staff of the fairground. Exhibitors must report immediately to Hall Manager in case of loss.
Receiving, handling & delivery of Samples: Temporary Imports will be handled by the custom clearance agency PALCO, located on the warehouse area close to pavilion No.23.
Unpacking Goods: Unless Customs or Hall Manager object, Exhibitors can proceed with unpacking goods once these arrive to stand. Re-exporting Goods: The return of goods to place of origin will be requested during the Fair prior contract with PALCO. Advance payment of all services is required at all times. Samples used as exhibits can remain within the exhibition at no extra cost for five(5) days after the official closure of the event, exhibitors exceeding this period are subject to storage charges as per valid rates. Should goods remain uncollected by exhibitors, EXPOCUBA will proceed with storage not been responsible for damages and any other expense incurred by the other party. Same procedure applies to goods to be reexported provided that no contract has been signed. Request forms for storage of goods by exhibitors are available with PALCO.
CUSTOMS REGULATIONS GENERAL CUSTOMS regulates the following: Notify Customs the arrival of goods to the authorized site. Deliver Goods to the Fair as cargo together with the following documents: TST-goods in transit, B/L or AWB, commercial invoice, packing list, Sanitary Inspection, licenses, certificates & special permits, SIMPLIFIED DECLARATION Transfer Goods after Customs clearance only. Pay relevant Customs Duties if required. Exhibit & Use of imported goods only within the approved location & purpose. Notify Customs of any event relevant to damage of Goods in transit. On time cancellation of Goods declaration in transit Request with minimum seven(7) days clearance extension of Goods Request Customs authorization to: Destroy goods, import giveaways, company promo, foods & beverages to giveaway or demos, materials to be used in a place different from the approved, submit for clearance products & items with promotional purpose, consumption within the premises of food & drinks prior its use. The following items are DUTY EXEMPT: Exhibits, documents, file cabinets, samples of inappropriate products for trade purposes, decorating materials non recoverable, printed material, catalogues, leaflets, posters, calendars, photographs for advertising only, products that are consumed in reasonable quantities during specific events & presentations as part of demonstration and exhibition process, promotional products related to exhibiting firms. The import of consumption materials (including products to be consumed within the fairground) worth up to 250.00 CUC in value is excluded from payment of Customs Duty for each exhibitor. The import of materials exceeding the above value are subject to an ad-valorem of 20%. Alcoholic drinks, cigars and fuels will be subject to payment of an ad-valorem duty of 20%. These goods shall be declared in the Declaration of non-commercial Goods form. Partial or Total withdrawal of Exhibits during the event without the express consent of the Hall Manager and customs clearance itçs strictly forbidden, as well as exhibit exchange between exhibitors. Likewise is strictly forbidden to Exhibitors to sell their goods, including promotional items. The import of Goods to be exhibited at the Fair carried as Accompanied Baggage BY THE Exhibitor must be declared to Customs using the “Simplified Declaration” form. This document is available through the Organizing Committee of the Fair.
Departure of Goods: Goods arriving to the country as accompanied baggage and returning to point of origin must go through Customs as transit, directly dispatched via air cargo at Havana International Airport.
VETERINARIAN REGULATIONS Importing to Cuba products such as: live animals, any type of taxidermies, meats products & byproducts, dairy products, fresh or processed eggs, honeys, canned meat, leathers, handcrafts items made from animal materials, soil or organic materials in any of its forms, vaccines, diagnostic means, biological and pharmaceuticals MUST obtain special permission from the Institute of Veterinarian Medicine. SANITARY REQUIREMENTS The Exhibitor does not require presentation of an Import Phytosanitary Permit nor International Phytosanitary Certificate when importing vegetal product samples as exhibits with no commercial value. Products must be FREE of live plagues, soil or vegetal waste when arriving to port of entry. Brand new & appropriate packing identification is required at all times. These must be free of any phytosanitary problems. All products are be declared on arrival and handed to the Quarantine Dept. staff at Ports & Airports for immediate inspection and further release to the Exhibition place should they totally fulfil the requirements. It is FORBIDDEN to enter tropical fruits. Dried fruits are accepted if country or origin is free of fruit flies or a country belonging to areas listed by the National Center for Plant Sanitation of Cuba as hassle-free, prior presentation of relevant Phytosanitary Certificate. Inspectors from the Quarantine Dept. will constantly check exhibits at the fairground. It is forbidden to offer or donate fresh fruits and vegetables to any visitor at the Fair. At the end of the event products marked as “risk” will be collected for further total destruction by incineration. PROHIBITED: Biological material, stumps, biological preparation products, reagents, soil, organic material & non-sterile substratum. For further information please contact Pavilion No.5
SANITARY REQUIREMENTS FOR FOODS, COSMETICS, ITEMS FOR PERSONAL USE & TOYS All food products, toys, personal & domestic items are required to submit relevant certificates of origin to the State Sanitary Inspection. Food, toys, personal & domestic items will be cleared for exhibition purposes for later inspection. These products must not be used until express consent is received from Public Health. State Sanitary Inspection (Public Healh) is the only body authorized to use these products on humans and personal use. Unconsumed food products under confiscation are to be evaluated by Public Health prior its final destination. During the event (Fair) Quarantine Dept inspectors will keep strict control of these.
